How to issue ARCA electronic invoices from your own sales system

To issue electronic invoices for ARCA (Argentina's tax authority, formerly AFIP) from your own sales system, that system needs to be connected to ARCA's web services. With that connection in place, when a sale is recorded the system builds the invoice, submits it, receives the CAE (the authorization code that validates it) and stores it with the sale. There is no need to log in to the ARCA portal or enter the information again.

In many companies, the sale is recorded in one place and the invoice is issued somewhere else: on the ARCA portal, in a spreadsheet or in a separate program. That arrangement can work at low volumes. As sales grow, so do data-entry errors, invoices waiting to be issued and the time spent copying data from one system to another.

What changes when the invoice comes from the same system

What you need to connect to ARCA

The connection is made through the web services ARCA provides to businesses. The general steps are:

  1. 01

    Digital certificate for invoicing

It is generated in ARCA using the company's tax login credentials (clave fiscal), and it is different from the password used to access the website. It expires, so it must be renewed on time.

  2. 02

Point of sale enabled for web services

Each point of sale keeps its own numbering for each invoice type.

  3. 03

    Web service authorization in ARCA

The certificate is linked to the electronic invoicing service.

  4. 04

    Testing in the staging environment

Before issuing real invoices, everything is tested in ARCA's test environment.

  5. 05

    Go-live

From that point on, every sale generates its invoice with a CAE and the QR code required by ARCA.

Invoice A, B or C: what determines the type

The invoice type depends on the VAT status of both the seller and the buyer. In general terms, a VAT-registered taxpayer (responsable inscripto) issues Invoice A to another VAT-registered taxpayer and Invoice B to final consumers and exempt parties; a monotributista (a taxpayer under the simplified regime) issues Invoice C. A properly configured system takes this information from the customer record and selects the correct invoice without manual intervention on each transaction. For questions about your company's tax situation, your accountant is the right point of reference.

If you already use a system, you do not need to replace it

Many companies already have a sales system, an online store or a management system that works well but does not issue invoices. In those cases there is no need to replace it: the ARCA integration can be developed and connected to the system they already use. Invoicing can also be added to a new custom-built system.

Frequently asked questions

Short answers to the most common questions on this topic.

Can I keep using the ARCA website while the integration is being built?

Yes. We recommend using a separate point of sale for the system so the numbering sequences do not overlap during the transition.

What happens if ARCA rejects an invoice?

The system receives the reason for the rejection and displays it so it can be corrected. A rejected invoice does not use up a number, so it is corrected and submitted again.

Does the invoice reach the customer automatically?

It can. Once it is authorized, the system can generate the PDF and send it automatically by email or WhatsApp.
